1 – The
Inside Africa Tours Contract
Your
contract is entered into with Inside Africa Tours (IAT). We wish
to set out clearly the responsibilities which we at IAT have to
you and which you, in turn, have to us when a contract is made
between us.
2 – What is
included
Personal
and professional guidance, with our utmost care and attention
given to your comfort and safety, for the duration of your tour,
from arrival in Southern Africa to departure of Southern Africa
.
Although most tours include your accommodation and transport,
each tour is different with regards to meals and activities that
are included. Please check the itinerary to see what is included
or contact us if in doubt. Items of a personal nature, such as
laundry, phone calls, tipping, room service, optional
excursions, wine & beverages, etc, are not included in tour and
holiday costs and are your own responsibility (See specific
exclusions and inclusions for each tour). Tour and Holiday
prices also exclude International and Southern African departure
taxes, customs and immigration fees.
3 – What
is not included
Meals,
unless otherwise stated in the itinerary.
Alcoholic beverages (beer, wine, spirits, etc).
Other personal needs, local arts, crafts and souvenirs.
Additional activities can be included in the tour package or
selected on a ‘pay as you go’ basis. Additional activities may
require pre-booking.
Comprehensive travel and cancellation insurance to cover
cancellation, medical treatment, hospitalization for illness,
loss of or damage to your personal property beyond the control
of IAT.
4 – Reservations and Payments
All
prices are quoted in New Zealand, Australian or United States
dollars unless otherwise specified. Prices in any other currency
can be supplied on request. Prices include all related Taxes -
VAT.
To confirm your
package IAT requires a booking deposit of 20% of the total
package cost. This booking deposit is non-refundable.
Full payment for
the package is required 60 days before tour commencement. If a
booking is made less than 60 days before tour commencement, then
full payment is required at the time of booking.
IAT reserves the
right to change package prices at anytime up until the time the
booking deposit has been paid. Payment can be made by direct
bank (telegraphic) transfers or credit card. Our preferred
method of payment is by direct bank (telegraphic) transfer.
Details of our account are available on request.
Should you prefer
to pay by credit card then an additional transaction fee is
payable over and above the price of the tour.
The prices
advertised are subject to currency fluctuations at the time of
booking.
5 – Cancellations
it is
recommended that you take out insurance covering cancellation.
The booking deposit is non-refundable.
In the event of a
cancellation 30 days or more prior to tour commencement, we will
refund 50% of the package price.
In the event of a
cancellation 29 to 16 days prior to tour commencement, we will
refund 25% of the package price.
In the event of a
cancellation 15 days or less prior to tour commencement, there
will be no refund.
No refund will be
made for any unused services included in the price unless
cancellation of such services was due to adverse weather
conditions. If the activity is cancelled due
to weather, we will provide as best an alternative as we
possibly can at no additional charge to you. On our hosted tours
all the details will be taken care of for you. If you are on a
self-drive tour, simply call our telephone number and we will
endeavour to either book you onto a different activity of your
choice, determine whether the activity can be rescheduled, or in
the event that there are no suitable alternatives we will refund
to you the cost of the activity.
Note that this does
not apply if you change your mind on a particular activity –
only if the activity is cancelled.
6 –
Limitation of Liability
INSIDE
AFRICA TOURS, as operator or agent, completes all tour
arrangements on the condition that it shall assume no
responsibility or liability for any injury, loss, accident,
delay or irregularity which may occur either directly or
indirectly from any defect in any vehicle, vessel or equipment,
or through neglect or default of any company or person engaged
in conveying the passengers or carrying out our arrangements of
the tours or otherwise in connection with the tours.
Further, IAT is not
responsible for medical problems encountered before, during or
after the tour, strikes, thefts, force majeure, acts of
terrorism, government restrictions or regulations, discrepancies
or changes in transit or hotel and other services over which it
has no control.
No claim may be
made against IAT arising out of the tour and no third party may
make a claim against IAT.
To participate in
travel with Inside Africa Tours you hereby agree that you will
not make a claim against IAT or sue for bodily injury, emotional
trauma, death and/or property damage, however caused, as a
result of your participation in the tour. You therefore release
IAT and its employees from any and all claims, known or unknown,
arising from your participation in a tour.
7 – Special Conditions and Needs
Please
advise IAT of any special needs or requests at the time of
booking. We will endeavour to meet such needs or special
requests, but cannot guarantee that they will be, nor will we be
responsible if any are not met. If you have any medical
conditions or disabilities which may affect your travel
arrangements, we need to be advised in writing at the time of
booking. If we cannot accommodate your needs or requirements, we
will advise you at that time.
8 – Services and Assistance
If an
unexpected problem occurs during your travel arrangements then,
in your own best interests, please contact our office without
delay. Only by doing this can we take steps to remedy the
situation and to help you. If you remain dissatisfied any
complaint must be made in writing to us within 30 days. Please
include your booking reference or voucher numbers as this will
help us to respond to you quickly.
9 – Smoking
The
smoking laws of South Africa, Namibia, Botswana, Lesotho,
Swaziland and Zimbabwe need to be adhered to. Regular stops are
made for passengers’ comfort.
10 –
Passport and Visas
Passports are required by all visitors to South Africa, Namibia,
Botswana, Lesotho, Swaziland and Zimbabwe. Visas are required
for visitors from some countries and you should check with IAT
for the correct information. Visas may need to be applied for
some weeks prior to your departure to Southern Africa.
Please check with
us and/or your airline regarding current passport, visa and
vaccination requirements. Please check with your doctor
regarding vaccination requirements for travel to Southern
Africa. Vaccinations are not IAT’s responsibility, but the
travellers. These need to be sorted before arrival to Southern
Africa. Any costs as a result of illness caught on vacation to
Southern Africa are the responsibility of the traveler.
All travellers will require a valid passport to enter South
Africa, Namibia, Botswana, Lesotho, Swaziland and
Zimbabwe. Please check with us or your
airline at time of booking as to the precise requirements and
procedures for obtaining passports or visas. (It is the
responsibility of the traveller to hold the above travel
documents).
11 – Quarantine
South
Africa has strict quarantine regulations. Do not bring any raw
food, fruit, plant material or soil with you. There are severe
penalties if you do.
12 – Privacy Policy
IAT
regard our visitors’ privacy as a very important issue. IAT is
concerned about protecting your privacy and is committed to
honouring the privacy of its visitors to the website. We will
only record your e-mail address if you send us a message. It
will only be used for the purpose for which you have provided.
We will not use your e-mail address or any of your personal
details contained in your e-mail for any other purpose without
your consent except for promotional material and newsletters
relating to IAT business and its services.
13 –
Risks relating travelling in Southern Africa
Travel has an
element of risk. These risks also need to be realized before one
carries out these activities.
INSIDE AFRICA
TOURS, as operator or agent, completes all tour arrangements on
the condition that it shall assume no responsibility or
liability for any injury, disability or death relating to the
carrying out of any activity booked through IAT.
Please be aware
that during your travel to Africa, certain risks and dangers may
arise including, but not limited to, the hazards of traveling in
undeveloped areas, travel by boat, train, rental car, aircraft
or other means of conveyance, the forces of nature, political
unrest and accident or illness in remote regions without means
of rapid evacuation or medical facilities. Also be aware that
Inside Africa Tours will not accept liability regarding
provision of medical care or the adequacy of any care that may
be rendered. You are voluntarily participating in these
activities with the knowledge of the dangers involved and hereby
agree to accept any risks.
PLEASE NOTE: Tour
arrangements are intended for people of reasonably good health
and without physical disabilities which would create a hazard
either for the passenger or other passengers. By forwarding
deposit for your travel arrangements, the guest certifies that
he or she does not have any physical disability that might
create a hazard for themselves or other tour participants. We at
Inside Africa Tours reserves the right to decline to accept or
retain any person as a tour participant should such person’s
health or mental condition impede the operation of the tour. |
